  • Group Formation: Divide participants into small groups (3-4 members).
  • Need Areas: Assign each group a different need area relevant to the AI tool's purpose (e.g., productivity, information access, customer service).
  • Brainstorming & Function Exploration: Within each group:

1. Discuss the specific needs within the assigned need area.

2. Brainstorm and identify functionalities the AI tool could offer to address these needs.

3. Consider how these functions would contribute to the user experience.

  • Group Presentations: Each group presents their identified core functions and how they would bring the AI experience to life, considering the assigned need area.

Part 2: Prioritising Core Functions and Data Needs (60 minutes)

  • Voting: Through group discussion and voting, select the top 4 core functions identified across all groups.
  • Data Needs Analysis: For each of the top 4 functions:

1. Identify the data required for the function to operate effectively.

2. Prioritise the data needs based on their level of importance:

Primary: Absolutely essential for the function to work.

Secondary: Important but may have workarounds if unavailable.

Tertiary: Desirable but not critical for functionality.

  • Discussion: Facilitate a group discussion on the identified data needs, discussing potential challenges, ethical considerations and privacy implications.

Part 3: Deep Dive into a Core Function (60 minutes)

  • Voting: Through voting or group consensus, choose one of the top 4 functions for further refinement.
  • User Journey Mapping: As a larger group, collaboratively map the user journey, defining the specific actions the AI will perform.
  • Function Detailing: For each interaction point on the user journey map:

1. Identify necessary pre-requisites for each action (e.g., user input, data access).

2. Determine the specific points where the chosen function would interact with the user.

3. Outline the intended outcomes and key performance indicators (KPIs) for each action.

4. Specify the data or APIs needed to achieve the desired objectives.

  • "Ideas Parked" Zone: Create a designated space to capture any additional ideas or suggestions not directly integrated into the core function development, ensuring they are considered for future development stages.

Wrap-up and Next Steps (15 minutes)

  • Summarise the key takeaways from the workshop: prioritised core functions, data needs and the detailed scope of the chosen function.
